Unmatched, unexplained and rounding

Reconciliation tooling almost always reports a single residual. Three distinct situations hide inside it, and collapsing them is the mechanism by which a report comes to look complete when it is not.

The three kinds

Rounding

An arithmetic artifact. It arises when a value is carried at one scale and presented at another: a balance translated at a rate held to six decimals and shown to two, an allocation split across twelve cost centres where each share is rounded independently, a unit price times a quantity where the product has more decimals than the currency does.

Rounding has no underlying transaction, so it has no cause to find. It is bounded — you can state in advance the largest residual the arithmetic can produce — and a rounding residual larger than that bound is not rounding, whatever it is labelled. It closes by policy, and the policy should name the bound.

Unmatched

The records exist on both sides and have not been tied to each other. A receipt of 4,107.00 in the bank on 30 September and a receipt of 4,107.00 in the ledger on 30 September that the matching rules did not pair, because the reference on one side carries a prefix.

Nothing is missing. The link is missing. Unmatched is resolved by matching, it is largely automatable, and its volume is a statement about the matching rules rather than about the business.

Unexplained

A real movement with no established cause. Money moved, and nobody can yet say why. This is the only one of the three that is an investigation, and the only one that can turn out to be a loss.

An unexplained item carries a null cause — deliberately null, not blank-because-nobody- filled-it-in — together with an owner, the evidence that would settle it and a date. A cause is established by a person, recorded with their name and the date. Nothing about the shape of a number establishes what caused it.

The test

Two questions in order settle which kind you have.

  1. Is there an underlying transaction at all? No — it is rounding, and it must be within the bound the arithmetic can produce. Yes — continue.
  2. Do records exist on both sides? Yes — it is unmatched, and the work is matching. No — it is unexplained, and the work is investigation.

Why merging them matters

Consider two reconciliations, each reporting a residual of 1,000 on a balance of 400,000, each reported as “0.25%, within tolerance”.

Account A has a matching rule that needs widening. Account B has 996.00 that left the business for reasons nobody knows. As a single percentage the two are indistinguishable, and the person who has to decide where to spend the next hour has been given a number that cannot tell them.

Netting makes it worse

The three kinds are only meaningful if debits and credits are compared gross. A duplicated debit of 3,400 and a duplicated credit of 3,400 net to zero; the reconciliation reports no residual at all, and two errors remain in the account. The clean-looking zero is not the absence of a problem, it is the absence of a comparison.

What a report should show

  • The three kinds as three figures, never summed into one.
  • Gross debit and gross credit residuals separately.
  • For unexplained: count, age profile, owner, and what evidence is outstanding.
  • For rounding: the bound the arithmetic permits, so an out-of-bound residual is visible as misclassified rather than as large.
  • For a conclusion the residual blocks: which conclusion, and what would unblock it.

“Blocked” is an answer. A report that cannot yet be supported should say so, naming the field it needs and the conclusion that field decides, rather than averaging the gap into a completeness score that reads as nearly finished.

Common questions

Is a rounding difference always immaterial?
Its size is bounded by the arithmetic, so it is usually small — but the reason to classify it as rounding is that it has no underlying transaction, not that it is small. A residual above the bound the arithmetic can produce is something else wearing the label.
What is the difference between unmatched and unexplained?
Unmatched means the records exist on both sides and have not been tied together, so nothing is missing but the link. Unexplained means a real movement with no established cause. The first is a matching problem; the second is an investigation.
Can a system establish the cause of an unexplained difference?
It can propose candidates and gather the evidence that would settle them. It cannot establish the cause, because a cause is a claim about what happened in the business. A cause should be recorded only with the name of the person who established it and the date they did.
