Balance sheet account reconciliation

A balance sheet account reconciliation substantiates a closing balance: it shows what the balance is made of, item by item, and demonstrates that each piece is real. Unlike a bank reconciliation there is often no external statement to compare against, and the composition is the evidence.

A worked example: an accruals account
Closing balance in the ledger at 30 September: 186,500.00. A reconciliation of this account is a listing, and the listing is the substantiation.

The reconciliation ties exactly, and it is not finished. 22,800.00 has no basis, and a balance whose composition includes an item nobody can source is not substantiated regardless of whether the column adds up. Note also the distinction the last column draws between supported and estimate: both are legitimate, but an estimate is a figure that rests on an assumption, and an assertion is never stronger than what it rests on. Adding a supported number to an estimated one does not produce a supported total.
What a template needs, and what most templates leave out
Spreadsheet templates for this job are easy to find and mostly carry the same four columns: description, amount, date, comment. Four things they generally omit turn out to be the ones that matter.
- An evidence reference per line, not a comment. “Per schedule” is not a reference; a document name and date is.
- The basis of each figure — observed, calculated from observed inputs, or estimated. A total made of both kinds inherits the weaker one.
- An owner and an expected date on anything unresolved. Without them an open item is a note rather than a task.
- Age. When did this item first appear in this account? An accrual appearing for the seventh month is a different conversation from one appearing for the first.
The clearing account exception
Suspense, clearing and payroll control accounts reconcile to zero, not to a statement. A non-zero balance in one of them is not a reconciling item to explain; it is an unposted transaction to find. Treating a clearing account balance as something to substantiate rather than something to clear is how a 40,000 balance survives four closes with a comment against it.

- What is balance sheet account reconciliation?
- It is the substantiation of a closing balance sheet balance: showing what the balance consists of item by item, and evidencing each item. For accounts with an external counterparty it compares against a statement; for accruals, prepayments and provisions the supporting schedule is itself the evidence.
- Which balance sheet accounts need reconciling every month?
- Cash, receivables, payables, intercompany, payroll control and every clearing or suspense account. These carry volume, an external counterparty, or a target of zero — any of which makes a month of drift expensive to unwind later.
- Is an Excel template good enough?
- For low-volume accounts, yes, provided it records an evidence reference and an owner per line rather than a free-text comment. The limitation is not the tool; it is that a spreadsheet has no memory of what an item looked like last month, so ageing an unresolved balance depends on somebody noticing.
