Xero and Valcenra
Last reviewed 2026-09-29
Valcenra works with Xero data today by file: export the Account Transactions report, match its columns to Valcenra's ledger columns, and import it with the report's totals as control totals. A direct connection to Xero is not available yet, and this page does not pretend otherwise.
What works today
- In Xero, open Accounting, then Reports, and run the Account Transactions report (or the General Ledger report) for the period.
- Export it to Excel, and save the sheet as CSV.
- Rename the columns to Valcenra's ledger columns (table below), add an entity code and the currency, and give each line a stable id: the reference plus the line number is enough.
- In Valcenra, open Import, choose the ledger, period and source system, paste the CSV, and enter the report totals for debits and credits as the control totals.
- Valcenra accepts the file whole or rejects it whole, and a rejection names the row and column to fix.
Menu names can differ between versions of Xero. If yours differ, any report that lists each ledger line with its date, account, debit and credit will do.
Column mapping
| Xero | Valcenra column |
|---|---|
| Reference + line number | source_line_id |
| (your entity code) | entity_code |
| Account Code | account_code |
| Date | posting_date |
| (your currency, e.g. GBP) | currency |
| Debit | debit |
| Credit | credit |
| Description | description |
Every column except description is required. Amounts must be plain decimals:
no currency symbols and no thousands separators. Dates are written YYYY-MM-DD.
What Valcenra then does with it
- Compares gross debits and gross credits with the totals you entered, and refuses a file that does not tie.
- Explains the movement between periods by driver, and keeps what it cannot explain as an open item with an owner.
- Reads only. Nothing is written back to Xero.
Security
The file you import is held in your Valcenra workspace, visible only to people you grant access. Valcenra never asks for your Xero password. See the privacy policy and trust centre.

The free workspace is one entity, two users and five stored analysis runs a month, with no card and no sales call.
Common questions
- Does Valcenra connect directly to Xero?
- Not yet. A direct, read-only connection is not available today. You can export the Account Transactions report from Xero and import it into Valcenra, which is what this page describes.
- Will Valcenra change anything in Xero?
- No. Valcenra only reads the file you import. It does not post journals, move money or approve anything, in Xero or anywhere else.
- What happens if the file does not tie to the report totals?
- Valcenra rejects the whole file and says which total disagrees, rather than importing the rows that parsed. A half-imported ledger is the one error a reconciliation cannot find afterwards.
