How to undo a bank reconciliation in QuickBooks Online

QuickBooks Online gives you two ways back. To fix one item, open the account register and change that transaction’s status from R to blank. To start a period over, the Primary Admin (or an accountant user) undoes the whole reconciliation from Reconcile, History by account. A full undo cannot be reversed, deletes that period’s reconciliation report and attachments, and also undoes every later reconciliation, so download what you need first.
Before you start
- Download the reconciliation report and any attachments you want to keep. Intuit says undoing a reconciliation permanently deletes them.
- Check whether one transaction explains the problem. If it does, unreconcile only that transaction rather than the whole period.
- Removing a cleared transaction changes the beginning balance of your next reconciliation, so confirm it really is the cause of the discrepancy first.
Option 1: unreconcile a single transaction
- Go to All apps, then Accounting, then Chart of accounts.
- Find the bank account and select View register.
- Find the transaction. Reconciled transactions show R in the check mark column.
- Select the transaction to expand it.
- Select the R box until it is blank. It cycles from R (reconciled) to C (cleared) to blank (uncleared).
- Select Save.
- Reconcile the account again.
Option 2: undo an entire reconciliation (Primary Admin)
- Sign in to QuickBooks Online as the Primary Admin.
- Go to All apps, then Accounting, then Reconcile.
- Select History by account.
- Find the reconciliation to undo, changing the report period if you need to.
- In the Action column, open the dropdown and select Undo.
- Read the warning, select the checkbox, then select Undo reconciliation.
- Select Done, then reconcile again, starting with the earliest period that was undone.
Option 3: an accountant undoes it in QuickBooks Online Accountant
Intuit’s accountant guide says the Primary Admin, an accountant user or an in-house accountant can undo a reconciliation. From the gear icon, select Reconcile, then History by account, and choose the account and report period. In the Action column select View report, then Batch undo, review the list of changes, confirm, and select Undo reconciliation.
What a full undo changes
- Every reconciliation after the one you undo is undone too.
- Each transaction goes back to its previous cleared or uncleared status, and the R marks come off the register.
- The beginning balance goes back to what it was before that reconciliation.
- Service charges, interest and balance adjustments entered in that reconciliation are removed, and its reconciliation report is deleted.

- Who can undo an entire reconciliation in QuickBooks Online?
- Intuit says the Primary Admin can undo a full reconciliation, and its QuickBooks Online Accountant guide says an accountant user or an in-house accountant can as well. Other users can still unreconcile single transactions from the account register.
- Does undoing a reconciliation delete the transactions?
- No. According to Intuit, each transaction goes back to its previous cleared or uncleared status and the R marks come off the register. What is deleted is the reconciliation report for that period and its attachments, and any service charges, interest and balance adjustments entered in that reconciliation are removed.
- If I undo last month, are later months undone too?
- Yes. Intuit's accountant guide says undoing a reconciliation also undoes every reconciliation after it, so each later period has to be reconciled again, oldest first.
- Can an undo be reversed?
- No. Intuit describes undoing a reconciliation as irreversible and says to download anything you need, such as the reconciliation report and attachments, before you start.
